Pre-Onboarding Requirements
- Trading Partner Guide: Obtain the buyer's or 3PL's EDI implementation guide with mandatory segments, code lists, and SLA windows.
- Identifier Validation: Confirm supplier GLN/vendor codes, ship-to locs, and SKU identifiers (GTIN/UPC) match the buyer's master data.
- Legal Terms: Ensure contracts include EDI SLAs, exceptions handling, and chargeback rules for non-compliance.
Connectivity And Security
- Protocol: Agree on AS2, VAN mailbox, or API endpoints and exchange certificates if required.
- Encryption & Signing: Verify encryption and signing requirements; test certificate validity and renewal dates.
- Transport Testing: Run connectivity checks (handshakes, MDNs for AS2) before starting functional tests.
Mapping And Validation
- Field Mapping: Map every required X12 element to ERP/WMS fields and document how optional segments should be handled.

Go-Live And Monitoring
- Production Cutover: Schedule go-live in a low-risk window; maintain a manual fallback process for the first 72 hours.
- KPIs To Track: PO acknowledgment rate, ASN accuracy rate, invoice match rate, and EDI rejection rate.
- Alerting: Configure alerts for failed transmissions, validation rejections, and missing ASNs ahead of shipment arrival.
Ongoing Governance
Run quarterly compliance reviews and publish a ranked vendor compliance scorecard. Use scorecards to prioritize corrective actions, technical remediation, or training for frequent offenders. Keep a change log for implementation guide updates and communicate changes before the next billing cycle.

A 3PL might require an ASN at least 24 hours before the scheduled dock appointment with item-level SSCCs.
