Vendor Item Number

Definition

An identifier printed or encoded on shipping packaging for the supply-chain purpose described by 'Vendor Item Number'.

Overview

Vendor Item Number An identifier printed or encoded on shipping packaging for the supply-chain purpose described by 'Vendor Item Number'. Comparing that identifier to other common product codes helps logistics teams route, receive, and sell products without misidentification.

Core Definitions And Roles

The Vendor Item Number is the supplier’s code used on cartons and pallets. Contrast this with:

  • SKU: Retailer- or warehouse-assigned stock keeping unit used for inventory, pricing, and replenishment.
  • UPC / GTIN: A globally-recognized barcode used for retail scanning and item-level identification across channels.
  • MPN (Manufacturer Part Number): The maker’s identifier for a part or product, often used in catalogs and technical specs.

When Each Identifier Is Primary

Each code has its domain. A retailer’s SKU governs merchandising and replenishment; a UPC/GTIN governs point-of-sale scanning and marketplace listings; the MPN appears in product specifications and procurement. The vendor item number acts mainly in the inbound and B2B space: carrier labels, packing lists, and vendor invoices. Knowing which identifier to trust is critical when automating receiving and invoicing.

How They Map Together

Systems should maintain one-to-many mappings because a vendor item number may map to a single SKU in one retailer and to multiple SKUs in another (if pack configurations differ). EDI and ASN messages commonly carry several identifiers, and the receiving WMS should have logic to prioritize which code authoritatively determines the item when discrepancies arise.

  • Priority Rules: Use the retailer’s required identifier when present; otherwise fall back to vendor item number then GTIN.
  • Pack-Level Differences: A vendor item number may represent a case pack while a UPC represents an inner unit; mappings must note the UOM (unit of measure).

Common Problems And How To Avoid Them

Mislabeling is the most common cause of mismatch — a vendor may print an old item number or omit the GTIN. Other issues include duplicate vendor numbers across vendors and inconsistent use of hyphens or leading zeros. Establishing a vendor label standard and a validation step on receipt (scan and compare against the PO/ASN) prevents most disruptions.

Operational Policies To Adopt

  • Label Standard: Require a specific barcode symbology (e.g., Code 128 or GS1-128) and field order on pallet/carton labels.
  • Data Governance: Keep an authoritative cross-reference table updated in the WMS or middleware that links vendor item numbers, SKUs, GTINs, and MPNs.
  • Onboarding Checklist: Validate sample labels from new vendors before production shipments start.

Example Comparison: A Single Product

A vendor ships a 12-pack of socks. Their vendor item number (V12345) appears on the carton. The retailer has SKU RET-TS-001 for a 12-pack and a UPC for the single sock unit. On arrival, the WMS matches V12345 to RET-TS-001 and records 100 cases inbound = 1,200 single units in inventory. If the carton only had the UPC for the single unit and the vendor item number was missing, receiving would need to infer the pack configuration — a process that risks errors.

In short, the Vendor Item Number is a vendor-assigned identifier printed or encoded on shipping packaging that operates alongside SKUs, UPCs/GTINs, and MPNs. Clear mapping and label discipline ensure each identifier serves its role without causing receiving and inventory exceptions.
