Warehouse Checklist: Preparing For Prime Big Deal Days Peak Volume
Prime Big Deal Days
Definition
Amazon's fall Prime-member shopping event focused on limited-time deals and early holiday-season demand.
Overview
Prime Big Deal Days is Amazon's fall Prime-member shopping event focused on limited-time deals and early holiday-season demand.
For warehouse managers and 3PLs, Prime Big Deal Days is a predictable but intense stress test: quick spike in outgoing parcel volume, concentrated inbound replenishment, and a short window to get orders shipped with promised delivery speeds. This checklist covers planning, execution and post-event activities to keep operations smooth and customers satisfied.
Six Weeks Out: Strategic Planning
Confirm which SKUs will be promoted and model expected sell-through using historical event multipliers or competitor benchmarking. Lock supplier lead times and freight bookings for inbound replenishment. If you use Amazon FBA, schedule inbound shipments against Amazon's receiving windows. Negotiate temporary carrier capacity or confirm pickup windows with existing carriers.
Two To Four Weeks Out: Warehouse Preparation
- Slotting: Move promoted SKUs into high-velocity locations with direct pick paths to packing stations.
- Labeling & QA: Complete barcode labeling, quality checks and bundle assembly for promotional packs so they are ready to pick immediately.
- Staging Areas: Create dedicated staging lanes for outbound parcels and a separate inbound staging for fast replenishment.
- WMS Configurations: Set priority pick rules, short-pick and oversell prevention parameters, and real-time inventory thresholds.
One Week Out: Staffing And Simulation
Staff additional pick/pack/QC shifts and schedule team leads to manage peak hours. Run end-to-end simulations for high-velocity SKUs: simulate 2–4× normal pick rate for several hours, test packing speeds, and verify carrier label and manifest generation. Confirm break packs and replacement parts for packaging lines.
Day-Of Event: Execution Controls
- Real-Time Dashboards: Monitor picks per hour, pack queue depth, outbound carrier ETAs and inventory by SKU.
- Priority Lanes: Reserve express packing lanes for Prime/expedited orders and have a rapid escalation path for exceptions.
- Communication: Maintain a direct line with merchant operations, carriers and marketplace account managers to resolve surges or inventory discrepancies immediately.
Carrier And Transportation Practices
Confirm daily cutoffs for parcel carriers and have contingency pickups arranged (regional carriers, couriers). For bulk replenishment, book LTL/FTL earlier in the day to avoid missed pickups. If Amazon FBA inbound capacity is tight, consider prioritized expedited lanes for critical SKUs to Amazon sort centers.
Returns And Post-Event Processing
Expect a bump in returns; prepare dedicated receiving lanes and staff for inspection and restock decisions. Update inventory records promptly to avoid availability issues. Plan a 48–72 hour post-event remediation window to clear backlogs, reconcile carrier discrepancies and update customer communications.
KPIs To Track
- Pick Rate (units/hr): Hourly throughput for deal SKUs versus baseline.
- On-Time Shipments: Percentage of orders shipped within carrier and marketplace SLA.
- Inventory Accuracy: Cycle-count variance for high-turn SKUs.
- Return Processing Time: Hours to inspect and restock returned units.
In short, the Prime Big Deal Days event requires proactive slotting, staffing, WMS tuning, carrier coordination, and a prioritized communications path between merchant, warehouse and carriers. Preparing in measured stages—from six weeks out through post-event reconciliation—reduces risk and preserves customer experience during this concentrated sales window.
