First mile scans are a foundational visibility point in modern supply chains. They create a timestamped record that triggers downstream workflows: warehouse release, carrier pickup confirmation, billing timelines, and exception handling. For merchants, 3PLs, and carriers, the data captured at the first mile affects inventory accuracy, customer ETA estimates, and service-level reporting.


What The Scan Typically Captures


Data captured at the first mile varies by operation but commonly includes the following items. Systems can record single-package identifiers (like serial barcodes) or higher-level IDs (pallet level or shipment reference).

  • Identifier: A barcode, QR code, or RFID tag that uniquely identifies the shipment or unit.
  • Timestamp: The exact date and time the scan occurred, used for transit metrics.
  • Location: GPS coordinates or facility identifier of where the scan took place.
  • Handler: The user, vehicle, or automated system that performed the scan.

  • Handheld Barcode Scanners: Common in warehouses and retail docks; fast and low-cost for barcode-labeled cartons or pallets.
  • Mobile Apps: Smartphone-based scanning apps that record QR/barcode, GPS, and photos — useful for on-route pickups or driver confirmations.
  • RFID Gate Systems: Automated reads for high-volume, palletized flows where hands-free accuracy speeds throughput.
  • Telematics Integrations: Connected vehicle systems that log departure times and geofenced pickups automatically.


How It Varies By Mode And Service


Not all first mile scans are equivalent. Parcel carriers typically scan at manifesting and at drop-off; LTL and truckload processes may record a single pickup scan at the dock or driver handheld. Ocean and air shipments commonly use house or master airwaybill scans when cargo is tendered to a forwarder or carrier.


Who Owns The Event And Who Uses It


Ownership of the first mile scan depends on contractual arrangements and system integrations. In many models:

  • Merchant/Warehouse: Records the outbound handoff scan to remove inventory and send pickup details to carriers.
  • Carrier/Driver: Confirms acceptance at pickup — often required for billing and proof of receipt.
  • 3PL/Forwarder: May perform the first mile scan when consolidating multiple merchants for a carrier tender.


Common Problems And How To Reduce Them


Inaccuracies at first mile create downstream friction. Typical issues include missed scans, duplicate scans, and incorrect identifiers. Practical mitigations include SOPs, training, and technology choices that match volume and SKU complexity.

  • Missed Scan: Enforce mandatory scan gates in WMS and require driver confirmation on pickup.
  • Poor Data Quality: Use standardized identifiers (GS1 barcodes) and label templates to reduce scanning errors.
  • Integration Gaps: Implement API-based handoffs between WMS, TMS, and carrier portals to pass the first-mile event instantly.


Practical Example


A direct-to-consumer merchant uses its WMS to stage orders on outbound pallets. When the carrier arrives, warehouse staff scan each pallet's GS1-128 label. The WMS sends the scanned payload with timestamp and GPS to the carrier via an API. The carrier's TMS ingests the first mile scan and marks the shipment as “in transit,” triggering customer notifications and starting carrier billing terms.


Measured KPIs tied to the first mile scan include pickup adherence, time between manifest and physical pickup, and percentage of shipments with condition photos at handoff.
