Gift messages are a small but important part of eCommerce order content. They communicate the sender’s intent, add a personal touch to gifts, and sometimes carry instructions for the recipient (for example, "Do not open until Monday"). For merchants and warehouses, gift messages create both customer-experience opportunities and operational steps that must be handled reliably and securely.


What The Gift Message Typically Covers


Gift messages are usually short (one to a few sentences) and cover a few common types of content:

  • Personal greeting: A short note such as "Happy Birthday—love, Jenna."
  • Delivery instruction: A request like "Leave on back porch" or "Do not deliver before 12/10."
  • Presentation preference: Indication to include or omit price information, or to gift-wrap the item.
  • Special handling: Notes about fragile items or preferred orientation when packing.


Why Gift Messages Matter


Gift messages influence customer satisfaction because they directly affect the recipient’s experience on receipt. A well-included note can increase perceived value and reduce the need for returns due to incorrectly packaged or disclosed gifts. From an operations perspective, gift messages create a separate content track to manage during pick-and-pack: print requirements, insertion steps, and privacy handling for sensitive content.


How Gift Messages Vary By Channel


Different sales channels and marketplaces provide different gift-message features and limits. Some channels allow free-form text up to a character limit, others provide preformatted templates, and some offer optional gift wrapping. When selling on multiple channels, merchants must standardize how each channel’s message maps to their fulfillment process so messages are not lost or truncated.


Operational Considerations For Merchants And Warehouses


Processing a gift message often requires explicit steps in order routing and packing:

  • Order flagging: The order should be flagged in the WMS or picking list with a gift-message indicator.
  • Insertion step: Clear instructions for inserting printed notes or cards into the shipment must be included on the packing slip or pick ticket.
  • Price suppression: The packing slip and invoice must be adjusted to hide prices when the customer requests it.
  • Quality check: A verification step to ensure the note is included and legible before sealing the package.


Practical Example


A merchant selling a boxed set of cookware allows customers to add a 200-character gift message. When the order is received by the merchant’s order-management system it sets a "gift" flag. The WMS prints a small insert with the message and a packing-slip line that reads "Gift Message: Include with shipment." The picker removes the item, hands it to a packing associate who inserts the printed message into the box along with a printed, price-suppressed invoice, then marks the order as packed in the system. A final QA check verifies the inclusion before the package is sealed and labeled.

  • Set character limits: Cap messages to a length that fits your insert template to avoid truncation.
  • Standardize formatting: Use a single template for printed inserts so staff know exactly where to place notes.
  • Train staff: Include gift-note steps in onboarding and quality checklists to avoid missed inserts.
  • Respect privacy: Do not include personal data beyond the message unless explicitly requested and allowable.
  • Channel mapping: Map each marketplace’s gift options to your system so the information arrives consistently in your WMS.
