Load Tender A formal offer of freight to a carrier with shipment details, pickup, delivery, and rate information. In practice a load tender is the document or electronic message a shipper or broker sends to a carrier to propose carriage of a shipment; it establishes the shipment’s core facts (origin, destination, commodity, weight, pickup and delivery windows) and the commercial terms (rate, accessorials, payment terms).
The load tender is the operational starting point for moving freight. When a carrier accepts a tender it is agreeing to provide transportation under the terms provided. Acceptance creates expectations for pickup timing, equipment type, detention and accessorial charges, and for many shippers it becomes the basis for load planning in a TMS or WMS. Modern tenders are sent by EDI, API, TMS portal, or email—and each channel drives different confirmation and exception flows.
What A Load Tender Typically Contains
- Shipment Identifiers: Unique load ID or reference, PO numbers, or shipment reference used for tracking and reconciliation.
- Routing And Locations: Pickup address, delivery address, appointment windows, and any intermediate stops.
- Commodity And Packaging: Description of goods, commodity class, NMFC codes where applicable, pallet count, pieces, and packaging type.
- Weight And Dimensions: Total shipment weight and weight per piece where needed; cube and pallet dimensions when required for capacity planning.
- Rate And Accessorials: Linehaul rate, accessorial items (lumper, detention, storage), fuel surcharge methodology, and payment terms.
- Equipment Requirements: Truck type (dry van, reefer, flatbed), required seal, liftgate, or hazmat authorizations.
- Compliance And Documentation: Required paperwork (BOL, commercial invoice, customs docs), carrier insurance requirements, and special instructions.
Why A Load Tender Matters To Operations
Operationally the tender converts a shipment plan into executable work for the carrier. It drives appointment scheduling, yard planning, capacity allocation and driver routing. For shippers it provides the formal record of agreed commercial terms and service windows. For carriers it feeds dispatch, determines equipment assignment, and triggers driver instructions. Poorly formed tenders cause mis-rates, missed appointments, extra miles, or rejected loads.
How Tenders Are Sent And Accepted
Tenders move through multiple channels depending on ecosystem sophistication: traditional phone and email, electronic data interchange (EDI 204 in North America), real-time API calls, or a carrier/TMS portal. Acceptance can be explicit (carrier sends an acceptance message) or implicit via manifesting or pickup. An explicit electronic acceptance is the clearest record; a silent pickup without confirmation raises questions about agreed rate and accessorials.
Common Pain Points And How They Vary
Tender quality varies by shipper and mode. Common problems include missing dimensions or inaccurate weights, unclear accessorial responsibilities, and conflicting appointment windows. In LTL moves these gaps frequently cause reweighs and reclassification; in truckload (FTL) moves they cause rejection or re-pricing. Automated validations in a TMS or EDI translation layer significantly reduce these exceptions.
Who Typically Issues And Who Accepts The Tender
- Issuer: Shippers, 3PLs, freight brokers, or trading partners generate the tender to solicit carriage.
- Accepter: Motor carriers, railroads, intermodal operators, or consolidators accept the tender; acceptance may be manual or automated.
Practical Example
A consumer goods shipper needs to move 20 pallets of boxed goods from a regional DC to a retailer’s distribution center. The shipper’s TMS generates a load tender with pickup/delivery windows, 20 pallets, total weight, requested pickup appointment, and a linehaul rate plus lumper and detention terms. The chosen carrier receives the EDI 204 tender, confirms equipment availability, sends an EDI acceptance, and schedules a driver. At pickup the carrier creates the bill of lading and records actual pallet count and weight for invoicing.
Tips For Better Tendering
- Validate Up Front: Use TMS or EDI translation rules to require key fields (dimensions, commodity code, pickup windows) before sending.
- Be Explicit On Accessorials: List who pays for lumper, detention thresholds, and layover to avoid disputes.
- Prefer Electronic Acceptance: Standardize on EDI 204 or APIs for clear acceptance records and automated scheduling.
- Use Standard Codes: Apply NMFC, SCAC, and carrier IDs to reduce manual entry and reclassification.
In short, the Load Tender is the operational and commercial offer that starts a freight move: send it with complete, validated data, and acceptances will translate to smoother pickups, fewer disputes, and more predictable carriers and costs.
