Product Data Steward

Definition

A person responsible for maintaining and governing product information according to established standards and processes.

Overview

Product Data Steward A person responsible for maintaining and governing product information according to established standards and processes. The role centers on ensuring product records are accurate, consistent, and fit for use across systems such as PIM, WMS, ERP, e-commerce platforms, and trading partner exchanges.

The opening paragraph makes clear the single-sentence definition is the authoritative short definition used across entries. Beyond that baseline, a Product Data Steward operates at the intersection of data governance and operational product management: they translate standards into repeatable processes, resolve data exceptions, and serve as the bridge between catalog teams, supply chain operations, and external partners.

Primary Responsibilities

Product Data Stewards take ownership of product master records and implement governance controls. Daily activities typically include reviewing new SKUs for completeness, validating attribute values and units of measure, enforcing naming conventions, and coordinating corrective actions when records fail automated quality checks. They also maintain documentation (data dictionaries, attribute definitions) and run periodic audits to detect drift from standards.

  • Data Quality Management: Monitor completeness, uniqueness, accuracy, and conformity of product records against defined thresholds.
  • Standards Enforcement: Apply naming, GTIN/UPC, classification, and attribute taxonomies consistently across channels.
  • Issue Resolution: Triage and resolve supplier or internal data exceptions, often using RACI or escalation matrices.
  • Cross-System Synchronization: Coordinate updates between PIM, ERP, WMS, and marketplaces to avoid divergent product states.

Skills And Tools

Successful stewards combine domain knowledge, process discipline, and tooling literacy. They do not need to be full-time developers, but they must understand data models, basic SQL or query skills, and how integration flows operate (batch vs. real-time).

  • Technical Skills: Familiarity with PIM/MDM systems, spreadsheet proficiency, and ability to run or interpret data quality reports.
  • Domain Knowledge: Product taxonomy, GTIN/UPC standards, units of measure, and regulatory labeling requirements where applicable.
  • Soft Skills: Stakeholder communication, negotiation with suppliers, and documentation writing for operating procedures.

How The Role Fits Into Governance

Within a data governance framework, the Product Data Steward is an operational role that executes policy set by data owners and governance committees. They implement validation rules, approve exceptions, and produce metrics that feed into governance reviews. Typical governance touchpoints include periodic data quality scorecards, change-control boards for attribute additions, and onboarding checks for new suppliers or marketplaces.

Key Metrics And KPIs

Measure a steward’s effectiveness with metrics tied to accuracy, timeliness, and downstream impact.

  • Completeness Rate: Percentage of product records that meet the minimum required attributes for a specific channel.
  • Time-To-Publish: Average time from SKU creation to being published to commerce or WMS channels.
  • Error Recurrence: Frequency of the same data issue reappearing after correction.
  • Return/Chargeback Impact: Reduction in returns or trading partner chargebacks attributed to data fixes.

Practical Day-To-Day Example

A retail warehouse receives a batch of new SKUs from a vendor. The Product Data Steward runs the batch through automated validation: missing dimensions and incorrect units are flagged. The steward contacts the vendor, requests corrected specs, updates the PIM, ensures the WMS receives the corrected master, and records the incident in an exceptions log. They then update the supplier onboarding checklist to prevent the same issue.

Where The Role Varies

Responsibilities change with company size and system maturity. In small operations a single steward may handle cataloging, content creation, and supplier communications. In larger 3PLs or merchants the steward is narrowly focused on governance and exceptions while separate teams manage content enrichment and product marketing.

Tips For Hiring Or Assigning A Steward

  • Background: Prefer candidates with combined catalog and operations experience—warehouse or merchandising exposure speeds onboarding.
  • Certifications: Look for data governance, MDM, or GS1 training rather than only IT certifications.
  • Tools Trial: Have applicants demonstrate a simple data-cleaning exercise in Excel or a sandbox PIM during interviews.

In short, the Product Data Steward safeguards the quality and fitness of product information for every system and partner that relies on it. The role prevents downstream operational errors, supports revenue channels, and institutionalizes product data as a repeatable, measurable asset.
