Retail suppliers, 3PLs, and warehouses that ship to Wayfair treat this identifier as the primary control number for order lifecycle events. The number appears in Wayfair’s vendor portal, in EDI messages where applicable, on the printed packing list, and on invoices. Matching systems and staff use it to route cartons to the correct customer order, reconcile shipments to purchase-order quantities, and trigger invoice generation in accounts receivable.


How The Number Is Assigned And Structured


Wayfair assigns the PO number at the moment a purchase is created on its procurement platform. The format is alphanumeric and consistent for a given purchase; suppliers should never create or change a Wayfair PO Number locally. Carriers and warehouses must use the number exactly as issued — including any leading zeros or dashes — because automated parsers and EDI translators match character-for-character.


In practical terms: when a retailer or category buyer places an order, Wayfair generates the PO and sends it to the supplier’s portal or EDI endpoint. The supplier acknowledges the PO, schedules shipment, and uses the same identifier on the ASN and invoice so Wayfair’s systems can link the documents back to the originating purchase.

  • ASN / EDI Documents: The ASN (856) and the original purchase order (850) carry the PO Number so electronic systems reconcile shipments before arrival.
  • Invoice: The supplier invoice must reference the PO Number exactly for automated matching and timely payment.

Minor differences — character formatting, leading zeros, or appended suffixes from internal systems — are common causes of mismatches. Configure your WMS, WCS, and invoicing systems to accept the raw Wayfair PO Number and avoid transformations that alter the sequence or characters.


Practical Example


A supplier receives PO 12345-WF on the Wayfair portal. The supplier picks five SKUs and generates an ASN referencing 12345-WF. The warehouse prints carton labels that include 12345-WF, the SKU, and carton count. The carrier scans the carton at pickup; the Wayfair receiving DC scans on arrival and matches the scanned PO Number to the ASN. The supplier submits an invoice with PO 12345-WF and is paid after three-way match. If the supplier instead uses 12345 (without -WF), the system may fail to match and flag the invoice for manual review.


Tips For Suppliers And Warehouses


  • Capture Exactly: Use the PO Number from Wayfair’s portal or EDI without trimming or reformatting.
  • Label Standards: Include the PO Number on every carton label and packing slip, visible and machine-readable (barcode + human-readable).
  • WMS Mapping: Map the Wayfair PO Number to your internal order ID in the WMS to avoid manual lookups.
  • Train Receiving Staff: Ensure receiving verifies PO Numbers during putaway and not just SKU counts.
