Advanced Shipping Notice An electronic notice providing details about an incoming shipment before arrival. It is a structured message — commonly sent as EDI 856, XML, or API payload — that tells a receiver exactly what is coming, when, and how it is packed so the receiving facility can plan labor, staging, and inspection before the truck shows up.


ASNs are the bridge between order/transport systems and the physical dock. They contain identifiers (purchase order numbers, carrier and bill of lading references), item-level details (SKU, quantity, unit of measure), handling instructions (pallet or carton breakdown, weight, dimensions), and required compliance data (lot, serial numbers, expiration dates, hazardous classifications). Ship-from and ship-to addresses, estimated arrival times, and carrier appointment data are also common fields.


What An ASN Typically Contains


ASN content varies by trading partner requirements, but most include the following elements to support automated receiving and cross-dock decisions.


  • Shipment Identifier: Carrier name, SCAC, carrier tracking number, and BOL to match the physical freight.
  • Order References: Purchase order and sales order numbers for reconciliation against the warehouse management system (WMS).
  • Packaging Hierarchy: Pallet, carton, and inner pack relationships so systems know how many cartons per pallet and how to stage them.
  • Item Details: SKU, quantity, unit of measure, lot/serial numbers, and expiration dates for inventory accuracy and traceability.
  • Logistics Data: Weight, dimensions, cube, and UN/product classifications for staging, equipment selection, and safety handling.


Why Warehouses And Carriers Use ASNs


ASNs reduce uncertainty and speed throughput. A receiving manager gets advanced notice of exceptions (shortages, overages, mixed SKUs) and can allocate the right number of dock workers, inspect prioritized goods, and prepare returns or pre-labeling. Carriers use ASNs to confirm shipments match booked capacity and to support appointment scheduling.


  • Labor Planning: Knowing carton and pallet counts lets managers schedule staff and equipment (forklifts, pallets jacks) to match peak receiving windows.
  • Faster Putaway: When the WMS ingests ASN data, it can pre-generate putaway tasks and route incoming cartons directly to staging or reserve locations.
  • Quality Control: ASN item details allow QC teams to prepare lot-specific inspection steps and allocate quarantine space for suspect lots.


How ASNs Vary By Technology And Industry


Retail, grocery, pharmaceuticals, and automotive have stricter ASN requirements than many B2B flows. Large retailers often require GS1-128 pallet labels and standardized ASN schemas; grocers add perishable attributes like expiration dates; medical supply chains demand lot and serial traceability to meet regulatory audits.


  • Format Differences: EDI 856 is standard in many large B2B relationships, while smaller partners may use XML or API calls.
  • Labeling Requirements: Some buyers require specific barcode types and placement. ASN helps confirm label compliance before arrival.
  • Timing Expectations: Retailers typically require ASNs within a window (e.g., within 24 hours of pickup); carriers may accept immediate or delayed transmission depending on booking workflows.


Practical Example: Receiving With An ASN


A regional grocery DC receives an ASN from a produce supplier. The ASN lists four pallets, 48 cartons in total, with item SKUs and expiration dates. The WMS imports the ASN and automatically creates four inbound unloading tasks, reserves inspection bay space, and pre-assigns barcode labels for cartons that require repacking. When the truck arrives, the dock team scans the BOL and pallet labels; the WMS confirms quantities against the ASN and posts any discrepancies immediately to the supplier portal for short claims.


Implementation Tips For Warehouses


  • Start With Critical Partners: Implement ASNs first for high-volume suppliers and customers to maximize ROI on reduced dock time.
  • Map Data Fields: Create a mapping document between your WMS/TMS fields and partner ASN schemas to prevent data mismatches.
  • Validate Automatically: Use automated ASN validations to flag quantity/PO mismatches, missing lot numbers, or forbidden item types before arrival.
  • Standardize Labels: Enforce label standards (GS1 or retailer-specific) and require suppliers to confirm label data in the ASN.
