What Is an Application Identifier (AI) in GS1 Barcodes?
Application Identifier (AI)
Definition
A GS1 prefix that defines the meaning and format of the data that follows it in a GS1 barcode.
Overview
Application Identifier (AI) A GS1 prefix that defines the meaning and format of the data that follows it in a GS1 barcode. Application Identifiers are numeric prefixes embedded in barcode data that tell scanners and backend systems how to interpret the following digits or characters — for example whether the data is a Global Trade Item Number, an expiration date, a batch/lot number, or a quantity.
Barcodes used across retail, healthcare, and logistics commonly carry multiple data elements. An Application Identifier (AI) is the standard mechanism for labeling each element so receiving systems parse and route the data correctly. Without AIs, a raw numeric string like 20012345678902 could be ambiguous; with an AI such as 01 (GTIN) or 17 (expiration date), systems read it as a defined field.
What The AI Encodes
AIs are numeric codes (typically two to four digits) that precede a data field and indicate its meaning, permitted length, and format rules. Common AIs include:
- 01: Global Trade Item Number (GTIN) — fixed 14 digits identifying a trade item.
- 17: Expiration date — fixed 6 digits in YYMMDD format.
- 10: Batch or lot number — variable length up to 20 alphanumeric characters.
- 21: Serial number — variable length for uniquely identifying an item.
Why AIs Matter
AIs enable multi-element barcodes that carry structured data for downstream processes: inventory, recalls, expiry control, and regulatory reporting. They remove ambiguity so WMS, ERP, and traceability platforms can map raw barcode strings to database fields without manual intervention. That reduces errors at receiving docks and in automated sorting systems, and it supports rapid response in product recalls and stock rotation.
How AIs Are Represented In Barcodes
In GS1-128, AIs appear directly in the barcode data stream; variable-length fields use the Function Code 1 (FNC1) as a separator when data elements are concatenated. For two-dimensional symbols (GS1 DataMatrix, GS1 QR), separators are unnecessary because the encoding stores element lengths. Human-readable labels often show the AI in parentheses — for example (01) 00012345600012 (17) 240630 — to aid operators, though parentheses are not encoded in the barcode itself.
How It Varies
Not all AIs are fixed-length; the standard defines which are fixed and which are variable. Implementations must honor these rules to ensure proper parsing. Also, different industries emphasize different AIs — healthcare relies heavily on lot, serial, and expiration (AIs 10, 21, 17), while retail focuses on GTIN and quantity.
Who Uses AIs
- Warehouse Operators: Use AIs to automate receiving, putaway, expiry checks, and FEFO/ FIFO picking.
- Manufacturers and Brand Owners: Encode AIs on cartons and labels to support traceability and regulatory compliance.
- 3PLs and Distributors: Capture AI-tagged data for inventory updates and lot tracking across facilities.
- Regulators and Healthcare Providers: Require AI-structured data for device identification and safety reporting.
Practical Example
Consider a pallet label using GS1-128 that encodes GTIN, lot number, quantity, and expiration date. The data string might be: 01123456789012 10ABC123 37 0005 17 240630 (spaces added for clarity). A scanner interprets 01 as GTIN (14 digits follows), 10 as lot (variable), 37 as count, and 17 as expiry (YYMMDD). The WMS maps each to the correct database field — product, lot, quantity, and expiry — triggering inventory ageing workflows.
Implementation Tips
- Labeling Consistency: Standardize which AIs you print and their order to simplify parsing and reduce label variants at scale.
- WMS Configuration: Ensure your WMS/ERP recognizes the AIs you use and supports FNC1 handling for variable fields.
- Human-Readable Formatting: Display AIs in parentheses on labels to help manual scanning and verification during exceptions.
- Testing: Validate scanner behavior with concatenated AI strings and test edge cases like maximum lengths and special characters in lot numbers.
In short, the Application Identifier (AI) is the GS1-defined prefix that gives every data element in a barcode a clear identity and format. Proper use of AIs turns a flat stream of digits into structured, actionable data across supply chain systems.
