The message is a keystone of automated receiving workflows and inventory accuracy in modern warehousing and 3PL operations.
What The ASN Typically Contains
- Shipment Identifiers: Carrier SCAC, trailer/flight/vessel number, ASN number, and expected arrival date/time.
- Order References: Purchase order numbers, vendor IDs, and ship-from/ship-to locations.

For retailers and large distributors, ASNs often form a contractual requirement: missing or incorrect ASNs can trigger chargebacks or delayed acceptance.

ASN quality depends on the sender’s packing accuracy, integration maturity, and agreed data standards. High-quality ASNs include full pack hierarchy and GS1 identifiers, while poor ASNs might list only item-level totals without carton or pallet detail. Timing is also important: overly early or late ASNs reduce their usefulness for planning and dock scheduling.

Without the ASN this process would require manual counting and more than double the labor time.

- Agree On Standards: Decide on EDI 856, XML, or API formats, and which identifiers (PO, GTIN, SSCC) will be used.
- Map Fields: Ensure carrier and warehouse systems map packing hierarchy and timestamps consistently.
- Test Transmissions: Run pilot shipments to validate counts, pack structure, and exception handling.
- Monitor KPIs: Track ASN accuracy, percent matched upon receipt, and receiving time per shipment.
Tips For Improving ASN Effectiveness
- Include Pack Hierarchy: Send pallet and carton level details (SSCCs) to enable scan-and-accept workflows.
- Use Unique Identifiers: Add SKU GTINs and serial numbers where required for traceability and recalls.
- Time ASNs Appropriately: Send ASNs close enough to shipment to reflect reality but early enough for planning (commonly 24–48 hours before arrival for domestic LTL/FTL).
