Overview
EDI Map Translation rules that convert standardized EDI data into the format used by an ERP, WMS, TMS, or order-management system. An EDI Map defines how each EDI segment, element, or qualifier maps to fields in the receiving application and any transformation (concatenation, reformatting, code translation) required during the handoff.
EDI maps sit between the communications layer that receives X12 or EDIFACT messages and the business systems that act on those messages. They are not the transport (AS2, FTP, VAN) nor the receiving application itself; they are the rules set that turn a shipment notice (856), purchase order (850), invoice (810), or other transaction into usable records inside an ERP, WMS, or TMS.
What The Map Typically Covers
At a minimum an EDI Map defines how to extract data, what default values to apply, and how to handle missing or conditional segments. Typical coverage includes:
- Identifiers: Translating EDI qualifiers (GLN, DUNS) into internal vendor or location IDs.
- Dates And Times: Converting format differences and time zones into the system standard.
- Units And Quantities: Mapping UoM codes and handling decimal/rounding rules.
- Product Codes: Cross-referencing EDI item identifiers to SKU or UPC records.
- Conditional Logic: Applying rules when multiple segments represent the same concept (e.g., alternate address lines).
Why EDI Maps Matter
Without accurate mapping, automated EDI flows create garbage records: mis-shipped SKUs, failed putaway instructions, or invoices that don't reconcile. A correct EDI Map enables straight-through processing, reduces manual correction work, and shortens carrier and vendor onboarding times. How EDI Maps Vary
Maps vary by complexity and by the systems they touch. Simple one-to-one maps may suffice when both sides already share common identifiers. More complex integrations include multi-step transformations, lookup tables, or the insertion of business rules:
- Simple: Direct field-to-field mapping (e.g., PO number to order number).
- Normalized: Converting code sets or units to a canonical internal format.
- Enriched: Using lookups (SKU master, price book) to add missing information.
- Conditional: Branching logic based on document content or trading partner profile.
Who Builds And Maintains Them
Mapping is often a shared responsibility. Technical teams—EDI analysts or integration specialists—create the initial map. Business owners from operations, finance, or procurement verify field meanings and acceptance criteria. After go-live, support teams maintain maps when trading-partner requirements or internal schemas change.
Practical Example
For a 3PL receiving an 856 Advance Ship Notice, an EDI Map will typically:
- Identify Shipment: Map Shipment ID to the WMS load number.
- Translate Locations: Convert EDI location qualifiers to the internal dock or warehouse code.
- Items: Map EDI item identifiers (GTIN) to internal SKUs using a lookup table.
- Quantities: Convert EDI quantity units into the WMS expected UoM and set putaway instructions.
After mapping, the WMS can create a putaway wave without manual intervention; mismatches generate exceptions for operations staff to resolve.
Tips For Reliable Mapping
- Start With Data Samples: Use real messages from partners to build and validate maps.
- Version Control: Track map changes and keep rollback options for quick fixes.
