It is the first electronic confirmation a shipper, warehouse, or platform sees that a parcel or freight move has left the origin location and is in the carrier's custody or accepted into a carrier node.


At its simplest, an origin scan is a time-stamped, location-stamped event recorded by a carrier's scanning device or a shipper's system (for example, a warehouse management system or carrier portal) when a shipment is picked up from a dock, dropped at a collection point, or scanned into a trailer, van, or sort facility. The scan creates a digital record used to start tracking, trigger billing rules for some carriers, and provide visibility to customers and downstream systems.


What The Event Typically Includes


An origin scan event generally records key data points that feed tracking systems and backend processes.

  • Timestamp: The date and time the scan was captured.
  • Location: The facility, dock, or pickup GPS coordinates where the scan occurred.
  • Identifier: The shipment's barcode, waybill number, or master tracking number scanned.
  • Scan Type: A code or label classifying the event as an origin, tender, or pickup scan.
  • Carrier ID: The carrier device or operator ID capturing the scan.


Why An Origin Scan Matters


Origin scans are more than a tracking entry — they are the operational trigger for several processes across logistics and commerce. They provide proof-of-collection, start transit time calculations for SLAs, count toward carrier manifesting and reporting, and often initiate billing or liability windows. For e-commerce operations, a timely origin scan updates customer-facing tracking and reduces support calls about “where is my order.”


How Origin Scans Vary By Carrier And Service


Carriers and service types treat origin scans differently. Parcel carriers commonly issue an origin scan when a driver scans packages at pickup or when a hub accepts tendered parcels. Less-than-truckload (LTL) and full-truckload (FTL) carriers may scan at pickup, at the first terminal, or rely on bol/manifests instead of individual package scans. International freight may use gateway scans that act as origin confirmation in place of a local pickup scan.


  • Parcel Carriers: Frequent, package-level scans; real-time update to public tracking.
  • LTL Carriers: May scan at pickup or at the first terminal; sometimes uses shipment-level scans.
  • Freight Forwarders: Use tender acceptance or bill-of-lading entries as origin confirmation.


Who Records And Who Sees The Scan


Origin scans are recorded by carrier personnel or automated systems. The recording party depends on the pickup method — carrier driver, onsite drop-off kiosk, or warehouse shipping clerk logging a tender into a carrier portal. Visibility is shared across the carrier's tracking system, the shipper's TMS/WMS when integrated, the consignee's tracking notifications, and marketplace platforms for e-commerce sellers.


  • Carrier: Produces the official scan in its tracking feed.
  • Shipper/Warehouse: Often logs a parallel pickup event in its WMS or TMS to reconcile with carrier data.
  • Marketplace/Customer: Receives tracking update from carrier or integrated platform.


Common Operational Issues And How To Handle Them


Missing or delayed origin scans are a frequent source of support tickets and can impact SLA measurements and invoice disputes. Typical causes include poor barcode quality, device connectivity issues, incorrect scanned identifier, or human error at pickup. Implementing redundant confirmation (warehouse tender, driver photo, or scan at staging) can reduce discrepancies. Reconciliation processes should match carrier scans to ship records daily, flagging missing origin scans for carrier follow-up.


  • Missing Scan: Reconcile manifest against carrier EDI/track feed; escalate with carrier within their window for claim or correction.
  • Incorrect Identifier: Use cross-reference tables (PO, BOL, SKU) in WMS to find mis-scanned shipments.
  • Delayed Scan: Check device connectivity and update carrier pickup confirmations manually if supported.


Practical Example


A mid-size e-commerce 3PL receives a batch of small parcels to be shipped via a national parcel carrier. Warehouse staff generate carrier labels and present them to the carrier at scheduled pickup. The carrier driver scans the bundle's consolidated barcode at the dock: that scan becomes the origin scan, visible in the parcel carrier's tracking portal and pushed via API to the 3PL’s WMS. Customer-facing tracking updates show the shipment is in transit, SLA clocks for delivery time begin counting, and any per-shipment pickup charges are applied based on that recorded origin event.


In situations where the driver doesn't scan at pickup but later at the first hub, the origin scan timestamp will reflect the hub scan; the shipping system and customer will see later visibility even though physical pickup occurred earlier — causing potential confusion and requiring process controls to ensure pickup scans happen at collection.

  • Standardize Labeling: Ensure barcode quality, placement, and label templates match carrier scanning requirements.
  • Integrate Systems: Use API/EDI connections to receive real-time carrier scan events into your WMS/TMS.
  • Reconcile Daily: Compare carrier scan feeds to pick manifests every day to surface missing origin scans quickly.
  • Train Staff: Teach dock staff drivers' expectations for scans and how to handle carrier refusals or missed scans.
