Advance ship notices (ASNs) are only useful when receiving systems and warehouse teams can interpret the relationships between what’s moving and how it’s packaged. The hierarchical breakdown of an ASN — typically shipment → order → pack → item — tells systems which items are in which cartons, which cartons belong to which pallet, and which orders are grouped into a shipment. That structure drives receiving, putaway, cross-dock, and auditing workflows.


What The Levels Represent


Each level in an ASN Hierarchy carries distinct identifiers and attributes used by warehouses and carriers.

  • Shipment Level: The top-level container for the transport event — usually has a shipment ID, carrier details, expected arrival time, and transport units (e.g., trailers, containers).
  • Order Level: Logical grouping tied to customer orders or purchase orders; indicates which SKUs and quantities belong to a particular order.
  • Pack Level: Physical packaging containers such as cartons, cases, or pallets; commonly includes pack IDs like SSCCs, dimensions, weight, and barcode references.
  • Item Level: SKU-level detail: GTIN/SKU, lot/serial numbers, unit quantities, expiration dates, and special handling flags.


Why The Hierarchy Matters


Hierarchy removes ambiguity. When a warehouse receives a trailer, the ASN hierarchy tells staff whether the trailer contains mixed pallets, single-order pallets, loose cartons, or a combination. Systems use that structure to automate label printing, direct cartons to appropriate receiving lanes, validate counts, and post inventory to the right orders. Without it, manual verification, rework, and inventory discrepancies rise.


How It Supports Warehouse Processes


Operational systems — WMS, ERP, and TMS — consume hierarchical ASN data to drive specific actions.

  • Directed Receiving: WMS routes incoming packs to dedicated docks or QA lanes based on pack-level attributes.
  • Putaway Optimization: Item-level quantities post directly to slots, enabling immediate replenishment or available-to-promise updates.
  • Cross-Docking: Order-level grouping identifies cartons destined for immediate transload versus storage.
  • Audit And Exception Handling: Hierarchy enables quick reconciliation between ASN-reported pack contents and physical counts.


How The Hierarchy Varies By Partner


Retailers, carriers, and 3PLs often expect different levels of detail. Large retailers may require complete pack-to-item mapping with SSCCs and serial numbers; smaller merchants might accept order-level ASNs only. International carriers may use different segment names and nesting rules for EDI 856 versus EDIFACT DESADV or XML/JSON implementations. Negotiate expectations in advance and document required segments and identifiers.


Practical Example


Imagine a 3PL receiving a single LTL shipment that contains two pallets: Pallet A holds cartons for Order 1001 (3 cartons, each with 10 units of SKU-A); Pallet B contains cartons for Orders 1002 and 1003. The ASN should: identify the shipment (carrier, ETA), list Order 1001 with references to the cartons on Pallet A, include each pack’s SSCC, and specify item-level quantities and lot numbers. With that hierarchy the WMS can scan the pallet SSCC, automatically confirm the three cartons and 30 units for Order 1001, direct Pallet B to a split-picking lane, and create receipts for each order without manual carton sorting.


Common Pitfalls And How To Avoid Them


Problems often come from missing or mismatched identifiers, inconsistent nesting, or different assumptions about what “pack” means.

  • Missing SSCCs: If pack IDs aren’t present, receiving staff need to open cartons to verify contents — require SSCCs where possible.
  • Order/Pack Mismatch: When packs contain mixed orders but the ASN lists only order totals, systems can’t auto-post receipts — insist on pack-level mapping for mixed loads.
  • Inconsistent Units: Mixing inner-pack quantities with case quantities without clear unit-of-measure tags leads to over/under-receipts — standardize UOM codes.


Tips For Implementation


  • Labeling Standards: Use GS1 SSCC barcodes on all pallets and cartons and include GTINs at the item level to speed scanning and validation.
  • Partner Specifications: Publish a clear ASN companion guide for trading partners showing required fields and example hierarchical structures.
  • Test Cases: Run test ASNs that include single-order pallets, mixed pallets, loose cartons, and serialized items to validate WMS mapping.
  • Exception Workflows: Implement workflows that route ASN mismatches to a QA team with clear pickup and restock instructions.


In short, the ASN Hierarchy organizes shipment data into shipment, order, pack, and item levels so systems and warehouse staff can validate receipts, automate putaway and cross-dock, and reduce exceptions. Defining clear identifiers, aligning partner expectations, and testing real-world scenarios convert ASN structure from paperwork into operational efficiency.
