The EDI 810 is the standard electronic invoice used in ANSI X12 messaging to transmit billing and invoice details between trading partners. In practice it replaces a paper invoice or PDF with a structured set of segments and elements — such as invoice number, date, line-item charges, totals, taxes, and payment terms — that systems (ERP, WMS, TMS) can parse automatically. For accounts payable and receivable teams, the 810 enables earlier validation, faster matching to purchase orders (POs), and automated posting to the general ledger.


What The Transaction Contains


An 810 is built from segments that group related data. Common segments include:

  • Header Segments: Invoice number, date, and billing identifier (BIG segment).
  • Party Identification: Buyer, seller, remit-to, and ship-to (N1/N3/N4 segments).
  • Line-Item Details: Item identifiers, quantities, unit prices, and line totals (IT1/IT3 segments).
  • Summary Totals: Subtotals, taxes, freight, discounts, and grand total (TDS/CTT segments).
  • Payment Terms: Discount terms, net terms, and remit instructions (DTM/ITD segments).

Who Sends And Receives


Typically suppliers or manufacturers send the EDI 810 to buyers after goods are shipped or services rendered. In distribution and 3PL settings, warehouses or fulfillment providers may generate invoices for storage, handling, and transportation charges. Receivers are usually accounts payable systems that match the 810 to a PO (850) and an advanced shipping notice (856) or packing slip.


Practical Example


Imagine a national retailer receives a palletized shipment from a supplier. The supplier sends an ASN (856) when the load leaves the dock, and, after delivery confirmation, issues an 810. The 810 contains the invoice number, invoice date, line-level SKUs with quantities and unit prices, freight charges, and net-30 payment terms. The retailer’s ERP automatically matches the 810 to the PO and the ASN. If quantities and prices match, the invoice is accepted and scheduled for payment — eliminating days of manual review.
