Overview

EDI 850 The ANSI X12 electronic purchase order transaction. It is the standard EDI message trading partners use to send purchase orders between buyers and suppliers in the United States and internationally when both parties use the X12 family of transaction sets.


The 850 replaces a paper purchase order with a structured, machine-readable document. Typical EDI ecosystems use the 850 to communicate order headers, line items, quantities, requested dates, billing and shipping addresses, and special instructions. Because it is standardized, the 850 reduces manual entry, speeds order processing, and enables automated downstream actions in ERPs, WMS, and fulfillment platforms.


How The 850 Is Structured


The 850 uses X12 segments and elements to represent purchase order data. Key segments include BEG (beginning segment for purchase order), N1 (name/address), PO1 (line item detail), CTT (transaction totals), and AMT/ITD for payment terms and amounts. Each segment contains fixed-position elements; for example, PO1 carries quantity ordered, unit of measure, unit price, and product identifiers (UPC, GTIN, or vendor SKU).


Suppliers map these segments into their ERP or WMS fields. A well-formed 850 consistently uses agreed code lists (units, currency, location qualifiers) and partner-specific qualifiers for item IDs to prevent mismatches. Trading partner implementation guides almost always specify which segments are required, optional, or situational.


Why It Matters


Automation: The 850 triggers order confirmation, inventory reservation, and picking workflows without manual transcription. Accuracy: Standard fields reduce PO-line errors that cause fulfillment delays. Speed: Electronic POs arrive instantly, enabling faster lead times and replenishment cycles.


For 3PLs and warehouses, receiving EDI 850s allows pre-staging of inbound orders, putaway scheduling, and allocation planning. For merchants and buyers, it enables centralized order control and auditability across multiple suppliers and fulfillment partners.


How It Varies By Industry And Partner


Retailers, distributors, and manufacturers often require specific customizations to the base X12 850. Retail chains may require additional merchandising fields (price conditions, promotion codes), while automotive suppliers expect strict part numbering and date formats. Large retailers commonly enforce strict validation rules and will reject 850s that fail compliance tests.

EDIs are commonly exchanged over VANs, AS2, or SFTP. After a buyer sends an 850, the receiver typically returns a 997 functional acknowledgment to confirm syntactic receipt. Business-level confirmations are handled via 855 (PO Acknowledgment) or exceptions via 856 (advance ship notice) if orders ship partially or with substitutions.


Integration points include: ERP inbound EDI translators, middleware mapping tools, or the WMS directly. Your choice affects where PO validation and business logic live: in the ERP (preferred for master data-driven validation) or in middleware (useful for multiple partner mappings).


Practical Example


A national retailer sends an 850 to a fulfillment 3PL: the BEG segment carries PO number and date, N1 identifies the ship-to DC, PO1 lists each SKU with quantity and UPC, SCH segments indicate requested delivery dates, and CTT totals the lines. The 3PL’s EDI gateway converts the 850 into inbound load instructions for the WMS, which reserves inventory and prints pick tickets aligned to the requested ship dates.


Tips For Smooth 850 Implementation
