The EDI 852 is a standardized electronic message that communicates product-level movement and status between trading partners so retailers, distributors, and suppliers can reconcile inventory, measure sell-through, and run replenishment processes.


The transaction is typically used by merchants and suppliers to close the loop between order fulfillment and inventory visibility. It reports activity at SKU or item-location level and is delivered on a defined cadence — daily, weekly, or ad hoc — depending on the trading partner agreement. Unlike an invoice or shipping notice, the 852 focuses on business activity after goods are received, stocked, sold, or moved within a retail or distribution network.


What The Transaction Typically Contains


The core structure of an EDI 852 includes a header that identifies the report and its reporting period, line-level details for each item or location, and summary totals. Typical data elements found in the detail lines are product identifier (SKU, UPC/GTIN), location code (store, DC, bin), beginning on-hand, receipts, adjustments, sales or decrements, and ending on-hand. Some implementations also include lot or serial detail, FIFO/LIFO indicators, and reason codes for adjustments.

How It Varies By Industry And Partner


While the X12 852 defines the transaction semantics, trading partners customize which segments and qualifiers they exchange. Grocery retailers often require store-level granularity and lot-level traceability; apparel retailers may include size and color breakdowns; distributors might focus on warehouse locations and pallet-level movements. Frequency also varies — supermarkets may send daily activity, while specialty retailers might report weekly.

In VMI setups, the supplier is often the primary consumer of 852 data; in analytics workflows, a merchant’s downstream teams consume it to validate demand signals.


Implementation Considerations


Getting the 852 right requires careful mapping and agreement on key business rules. Parties must agree on identifiers (GTIN, UPC, internal SKU), location codes, units of measure, rounding rules, and how to report returns or voids. Integration with a WMS or inventory system requires matching the 852 fields to internal item master and location tables. Common transport mechanisms include AS2, SFTP with VAN, or API-based alternatives when partners modernize.


  • Identifiers: Agree on a single product identifier and map alternate codes centrally.
  • UOM Rules: Standardize units (each, case) and provide UOM qualifiers when needed.
  • Error Handling: Define rejection processes and reconciliation cadence in the trading partner agreement.


Practical Example


Consider a supplier receiving a daily 852 from a national retailer. The header marks the report date and store ID. Each detail line lists SKU 12345, beginning on-hand 120, receipts 50, sales 40, adjustments -2, ending on-hand 128. The supplier uses this to confirm the store sold 40 units today, validate the receiving of 50 units the prior day, and detect an unexplained -2 adjustment requiring investigation with the store’s inventory clerk. Consolidated across hundreds of stores, these reports feed replenishment logic and promotional ROI analysis.
