Overview

Inbound tracking is the software-supported process of capturing, consolidating, and reporting shipment status from the moment goods leave a supplier until they arrive and are processed at a receiving dock or staging area.


Modern inbound tracking typically combines carrier tracking data, electronic documents (EDI/ASN), telematics, and manual updates from supplier or carrier portals into a single pane of glass. Warehouse management systems (WMS), transportation management systems (TMS), or standalone visibility platforms ingest these signals to provide estimated time of arrival (ETA), exception alerts, and receiving preparation instructions for dock scheduling, putaway, quality inspection, and labor planning.


What Inbound Tracking Usually Covers


  • Pickup-To-Delivery Status: Timestamped events from pickup, in-transit milestones, to arrival at the receiving facility.
  • Document Matching: Linking bills of lading, advanced ship notices (ASN), and purchase orders to physical shipments so receiving teams know what to expect.
  • ETA And Exceptions: Real-time ETAs and automated alerts for delays, route deviations, or carrier-reported incidents.
  • Carrier And Supplier Visibility: Consolidated feeds from multiple carriers and supplier portals for cross-carrier comparison and verification.


Why Inbound Tracking Matters For Warehouses


Accurate inbound tracking reduces uncertainty at the dock. When receiving knows what’s arriving and when, they schedule labor, assign dock doors, and pre-stage equipment—reducing detention time and accelerating putaway. For fulfillment operations, inbound visibility prevents stockouts by allowing procurement and inventory teams to reroute or expedite replacement inventory before customer service levels are affected.


How The Data Is Collected


Inbound systems rely on multiple data sources. Carrier APIs and EDI 214/214-like transaction sets provide location and status. Suppliers submit ASNs (EDI 856) with quantities and packaging details. Telematics and GPS from trucks offer live position data, while port/terminal systems and customs feeds provide gate events for ocean and intermodal shipments. Manual confirmations—photographs at pickup, proof-of-delivery scans, and carrier notes—fill gaps where automated feeds don’t exist.


How It Integrates With Warehouse Systems


Integration points are typically the WMS and TMS. A WMS uses inbound tracking to create receiving appointments, pre-generate putaway tasks, and allocate quarantine or QC space. A TMS consumes the same visibility to manage carrier performance, trigger exception workflows, and compute demurrage or detention risk. When integrated with ERP, inbound tracking updates expected inventory and financial commitments (e.g., accruals, landed cost estimates).


Typical Metrics And KPIs


  • On-Time Arrival Rate: Percentage of inbound shipments that arrive within an acceptable window of the ETA.
  • Dock-To-Stock Time: Time between arrival at the dock and inventory availability in the WMS.
  • Carrier Exception Rate: Share of shipments flagged for delay, damage, or documentation issues.
  • ASN Accuracy: Match rate between ASN quantities and received quantities.


Common Challenges


Data fragmentation is the primary obstacle—different carriers expose different APIs or none at all, suppliers may not send ASNs, and port/terminal data can be inconsistent. Another issue is data latency: GPS pings or carrier updates that lag reduce ETA accuracy. Finally, mapping disparate identifiers (carrier shipment IDs, purchase orders, container numbers) to internal SKUs requires robust matching logic and often manual reconciliation rules.


Practical Example


A mid-size retailer receives weekly ocean imports and regional LTL deliveries. Their inbound tracking system pulls vessel arrival notices from port terminals, container gate-in/out events from carriers, and supplier ASNs. When a container is delayed at the port, the system notifies receiving and procurement; receiving reschedules appointments and procurement flags inventory for possible intermodal rebooking. The retailer avoids stockouts and reduces expedited air freight costs.


Tips For Getting Better Inbound Tracking


  • Prioritize High-Value Lanes: Start tracking the suppliers and routes that most affect service levels and costs.
  • Standardize Documents: Require ASNs and uniform labeling (GTINs, SSCC) from suppliers to simplify matching and reduce manual work.
  • Use Hybrid Data Sources: Combine telematics with carrier APIs and manual confirmations to improve ETA accuracy.
  • Automate Exceptions: Configure automated workflows for the common exception types to speed resolution.
