Shipment Level is the ASN level containing information about the overall shipment, carrier, trailer, tracking, bill of lading, and dates. This level sits above order- and pack-level detail and groups all goods that travel under a single transport event or BOL. For warehouse teams and 3PLs the shipment-level view is the primary source for arrival scheduling, dock allocation, carrier coordination, and high-level receiving milestones.
Shipment-level data is typically sent as part of an Advanced Shipping Notice (ASN) or electronic manifest and identifies attributes that apply to the entire load rather than to individual SKUs or cartons. Fields commonly included are carrier name and SCAC, trailer or container number, pro or tracking number, bill of lading reference, pickup and estimated delivery dates, and the total number of packages or pallets. Because it represents the transport container or event, shipment-level information is the first place warehouse systems check when matching inbound shipments to scheduled appointments.

- Carrier And Service: Carrier legal name, SCAC or carrier code, and service level such as standard, expedited, or LTL/FTL designation.

Shipment-level information is the anchor for operational planning. Appointment scheduling depends on carrier and ETA data; dock doors are assigned by trailer ID and expected arrival; labor forecasting uses the total pallet or piece count. Without accurate shipment-level details, warehouses cannot properly stage receiving lanes, allocate forklifts, or alert downstream operations (putaway, QC, and replenishment). It also forms the basis of carrier chargebacks and dispute resolution since BOL and pro numbers are legal references for delivery.

ASNs are hierarchical. The shipment level is the parent of order or pack level entries. The shipment-level summary gives the transport context; order-level entries tie content to purchase orders; pack- or carton-level rows provide itemized SKU detail and weights. Correct reconciliation requires totals at the shipment level to match aggregated counts from children levels — mismatches trigger investigations for missing cartons, mis-palletized goods, or incorrect data translation across systems.

Mismatches between shipment summaries and the itemized ASN are frequent causes of receiving delays. Typical failure modes include missing trailer numbers, incorrect ETA formats, or aggregate counts that don’t sum to order-level totals. Avoid these by enforcing EDI or API validation rules that require essential shipment fields, implementing automated reconciliation scripts in the WMS, and training vendors to populate trailer and BOL fields consistently. Use barcode or RFID capture on trailer arrival to link physical assets to the shipment record immediately.
Practical Example
A retail chain expects a multi-PO mixed pallet shipment arriving under a single BOL. The ASN's shipment-level segment contains SCAC ‘ABCD’, trailer ‘TR12345’, PRO ‘P987654’, estimated arrival 08:00 on 2026-09-10, and total pallets = 12. The WMS auto-allocates a door and schedules two receiving crews based on the 12-pallet count. On arrival, scanning the trailer ID confirms the match; the WMS then expands child-level PO and carton details to drive putaway and invoicing.
Tips For Implementing Reliable Shipment-Level Processes
- Standardize Required Fields: Make carrier, trailer/container ID, PRO/BOL, and ETA mandatory in supplier ASNs.
- Validate Upstream: Use EDI/API validation before ASNs are accepted to reduce data errors at the dock.
- Capture Arrival Immediately: Scan trailer and BOL on gate-in to lock the shipment record and avoid mis-assignment.
- Automate Alerts: Trigger exception workflows when shipment-level counts and child totals don’t reconcile.
