Refrigerate Upon Arrival

Definition

An environmental handling instruction requiring the package to be managed according to 'Refrigerate Upon Arrival'.

Overview

Refrigerate Upon Arrival An environmental handling instruction requiring the package to be managed according to 'Refrigerate Upon Arrival'. This instruction tells everyone who handles the shipment — carrier, dock staff, and receiving teams — that the product requires refrigeration immediately on receipt to preserve product safety, quality, or regulatory compliance. The short instruction may appear on labels, bills of lading, or in electronic shipment notes, but the practical requirement is immediate control of temperature and documented chain-of-custody.

Why The Label Matters

Refrigeration instructions are not decorative: they change how a package is prioritized, handled, and where it must be placed on the dock. Perishable foods, pharmaceuticals, cultured materials, and certain chemicals lose safety or efficacy if allowed to warm. A clear "Refrigerate Upon Arrival" marking reduces time on the dock, speeds transfer into cold storage, and lowers spoilage and recall risk.

Typical Temperature Expectations

Many shippers expect goods marked "Refrigerate Upon Arrival" to be held between 35°F and 41°F (about 2°C–5°C) unless the shipper specifies otherwise. Some products need narrower bands (for example, vaccines or certain dairy products). When no target is printed, assume standard refrigerated conditions and confirm with the shipper or the product's technical data sheet.

Receiving Steps For Dock Teams

  • Visual Identification: Check for the marking, temperature indicators, or data logger on the outside of the package before signing for the load.
  • Priority Unloading: Move refrigerated loads ahead of ambient freight to minimize temperature excursion time on the dock.
  • Immediate Temperature Check: Measure temperature of the first package or the interior of the trailer with a calibrated probe; log the reading.
  • Data Logger Retrieval: If a datalogger or temperature indicator is attached, note its reading and secure it with the load paperwork.
  • Fast Transfer to Cold Storage: Shipments must be moved into the appropriate refrigerator or cooler bay without delay; use pallet jacks or forklifts staged for rapid transfer.

Documentation And Chain-Of-Custody

Documentation protects all parties. Record carrier arrival time, temperature on receipt, who accepted the goods, and where the load was placed in cold storage. If a temperature excursion occurred during transit or on the dock, note the duration and highest temperature recorded. Attach photographic evidence when practical and notify the shipper for disposition instructions if the product shows signs of compromise.

Who Decides Temperature And Disposition

The shipper usually defines the required storage temperature and acceptable tolerance. The receiving warehouse must follow shipper instructions and any applicable regulatory limits (for example, food-safety temperatures in the FDA Food Code). When instructions are ambiguous, contact the shipper or the consignee immediately; quarantining the shipment in a designated cooler reduces the risk of cross-contamination or accidental use.

Practical Example

A 3PL receives a pallet marked "Refrigerate Upon Arrival" containing fresh-cut salad mix. Dock staff confirm the trailer interior is within range, accept the load, note 39°F on the receiving form, remove the datalogger and upload the file to the WMS, then move the pallet to a designated refrigerated bay within 12 minutes of door opening. The WMS flags the SKU for same-day fulfillment only from cold storage.

Tips For Reducing Risk

  • Pre-advise Dock Teams: Use EDI or shipment notifications to flag refrigerated loads before arrival so staff and equipment are staged.
  • Designate Quarantine Space: Reserve cold bays for uninspected arrivals to prevent accidental mixing with stable inventory.
  • Calibrate Instruments: Keep thermometers and data-loggers calibrated and records available for audits.
  • Train For Rapid Transfer: Practice a timed unload-to-cool-chain drill so personnel know the target benchmarks.

In short, the Refrigerate Upon Arrival instruction requires immediate, documented transfer of temperature-controlled shipments into appropriate refrigerated storage and careful recording of arrival temperature and handling steps.
