Item Not as Described

Definition

A claim that the item received materially differs from the product listing, description, photos, condition, or promised attributes.

Overview

Item Not as Described A claim that the item received materially differs from the product listing, description, photos, condition, or promised attributes. For buyers and sellers, the claim triggers a set of possible outcomes: return-and-refund, replacement, partial refund without return, or marketplace mediation. Knowing the paths and documentation each platform expects speeds resolution and reduces costs.

Common Resolution Paths

There are four typical outcomes to an INAD claim: full refund on return, full refund without return (common for low-value items), replacement shipment, or partial refund to keep the item. The chosen path depends on item value, buyer preference, marketplace policy, and merchant evidence.

Marketplace And Payment Processor Rules

Marketplaces (Amazon, eBay, Etsy) and payment processors (Stripe, PayPal) have distinct buyer-protection rules. Some require merchants to issue refunds quickly to avoid escalations; others require returns before refunds. Failure to comply often results in the platform reversing the decision in the buyer’s favor. Know the claim window and evidence standards for each channel you sell on.

Steps For Buyers To Improve Their Case

  • Clear Photos: Provide high-resolution photos of the item and packaging, including SKU labels and any model or serial numbers.
  • Comparison Shots: When possible, photograph the received item next to the listing screenshot or the order confirmation.
  • Timestamped Messages: Use the marketplace’s messaging system so the conversation is logged in the case file.
  • Preserve Packaging: Keep original packaging and do not discard parts or accessories until the case is resolved.

Steps For Sellers To Protect Their Position

  • Retain Records: Keep pick/pack timestamps, outbound photos, and supplier invoices for at least 90 days.
  • Offer Reasonable Remedies Fast: Offer RMA labels, replacements, or partial refunds in line with your policy to reduce escalations.
  • Escalate With Evidence: If a buyer is dishonest, escalate via the marketplace dispute center and attach your evidence package (photos, scans, listing archive).
  • Refund Strategy: For low-value disputes where cost of return exceeds item value, consider offering refunds without return to save logistics costs.

Return Logistics And Reverse Supply Chain

Deciding how returns flow back into inventory affects cost. Returned items may be restocked, refurbished, liquidated, or destroyed depending on condition and policy. Track returns by RMA and note disposition in your WMS. For expensive or serialized items, require return authorizations and inspect returns before restocking.

Chargebacks And Financial Risk

When buyers use payment dispute channels instead of marketplace processes, merchants face chargebacks. These are often costlier: merchant loses the sale, pays a chargeback fee, and needs to provide transaction evidence to the acquirer. Maintain robust shipping and delivery evidence (carrier scans, proof of delivery, signature) to fight chargebacks.

Practical Example For Cost Decisions

For a $15 accessory with an INAD claim, return shipping may cost more than the item’s value. Merchants can offer a $10 refund without return to retain customer goodwill and avoid reverse logistics costs. For a $400 serialized appliance, require return and inspection before refund or replacement; document each step to satisfy both marketplace and payment processor queries.

Metrics To Track And Improve

Track INAD rate by SKU, supplier, and listing template. Monitor time-to-resolution, cost-per-claim (including returns and restocking), and escalation rate to marketplaces. Use these metrics to prioritize photo updates, specification fixes, supplier QA, and warehouse SOP changes.

In short, the Item Not as Described claim can be resolved through returns, refunds, replacements, or mediation. Faster responses with the right documentation lower the financial and operational impact. Tailor the remedy to item value, cost of returns, and platform requirements while tracking root causes to reduce future claims.
