When Retailers Should Require Remittance Advice From Suppliers
Remittance Advice
Definition
Information sent with or after a payment identifying which invoices or balances the payment should be applied to.
Overview
Remittance Advice A payment document showing which invoices were paid and which deductions, credits, or adjustments were applied. For retailers that manage dozens to thousands of vendor relationships, deciding when to require a remittance advice affects cash application speed, dispute resolution, and working capital visibility.
Requiring remittance advice is not an all-or-nothing policy. The decision should be tied to transaction complexity, payment methods, and downstream systems that consume payment details. A clear rulebook reduces exceptions and prevents mismatches between a supplier’s receivable ledger and your accounts payable or reconciliation team.
When To Require Remittance Advice
Retailers typically require remittance advice in these scenarios: when payments are made by third-party or pooled accounts, when suppliers expect deductions (chargebacks, promotions), when partial payments are common, and when electronic payments lack structured remittance data. Also require it for large-value or high-frequency suppliers where reconciliation risk is material.
How The Requirement Varies By Payment Method
Different payment methods carry different remittance expectations. For cash or check payments, a paper remittance or a cover note sent by email is standard. For ACH or wire transfers, remittance details may be included as addenda or transmitted separately. Card and marketplace payouts often rely on portal statements. When remittance data can’t travel with the payment, require a remittance advice to be sent to a designated AP inbox.
What A Required Remittance Advice Should Contain
- Payment Identifier: Bank trace number, check number, or payment reference to link the advice to a bank record.
- Invoice Details: Invoice numbers, invoice dates, and exact amounts being paid against each invoice.
- Deductions And Reason Codes: Clear labels for chargebacks, returns, promotional allowances, taxes withheld, or discounts applied.
- Contact And Timing: Supplier contact for disputes and the payment date.
Who Should Send And Who Should Receive It
Suppliers should send remittance advice. Recipients vary by retailer: central AP email, ERP remittance import endpoint, or an EDI mailbox. For omnichannel retailers with multiple business units, require a single remittance channel and enforce routing rules in the vendor master to avoid lost advices.
Exceptions And Special Cases
Do not require a remittance advice when the payment channel guarantees structured remittance (for example, ISO 20022 messages with detailed remittance fields or an EDI 820 used end-to-end) unless the retailer’s systems cannot consume that format. For marketplace or drop-ship models where the platform provides consolidated settlement statements, accept the platform statement as the remittance advice.
Practical Implementation Steps
- Policy: Publish a vendor remittance policy that defines required fields, allowable formats (PDF, CSV, EDI 820), and submission channels.
- Vendor Onboarding: Capture remittance preferences in vendor master data and validate during onboarding.
- Systems: Configure ERP/AP automation to import remittance files and match payments to invoices automatically.
- Escalation: Define timelines for reconciliation holds, dispute initiation, and recovery if remittance advice is missing.
Example Workflow
Supplier issues an ACH transfer and emails a remittance CSV to your AP mailbox. An automated parser matches the bank trace and invoice numbers, posts payment against invoices, and flags one deduction for a promotional allowance. AP routes the flagged deduction to merchandising for approval and posts approved adjustments within 48 hours. The supplier receives confirmation and the cash application is complete without manual intervention.
Tips For Faster Implementation
- Standardize Formats: Limit acceptable remittance formats to 2–3 types (e.g., EDI 820, CSV template, PDF remittance) to simplify parsing and automation.
- Align Codes: Use a short list of deduction reason codes that merchandising, returns, and AP all understand to avoid back-and-forth.
- Designate A Single Inbox: One monitored remittance channel reduces lost advices and speeds exception handling.
In short, the Remittance Advice should be required when payment complexity or reconciliation risk warrants it. A clear policy, consistent formats, and automated ingestion will reduce exceptions and shorten days-sales-outstanding reconciliation cycles.
