Review Copy Fulfillment is the practice of sending books or magazines to reviewers, media contacts, influencers, buyers, or industry professionals. Timing, recipient type, and campaign goals determine whether dedicated fulfillment is the right choice for a given outreach effort.


Not every title requires a full fulfillment campaign. Publishers should choose review copy fulfillment when the expected return — reviews, trade orders, media placements, or influencer content — justifies the unit, shipping, and labor costs. The decision depends on audience reach, seasonality, shipping complexity, and whether timely physical delivery is essential to the campaign’s success.

If the goal can be achieved via digital review copies (PDFs, eARCs), weigh the tradeoffs in credibility, presentation, and control.


Timing And Lead Times


Start planning fulfillment at least 4–6 weeks before an embargoed review date for domestic shipments; international shipments commonly need 6–10 weeks depending on destination and customs. For high-priority reviewers who require earlier access, consider sending sooner or using expedited services. Coordination with PR and editorial calendars is essential so that packout, shipping, and follow‑ups map to outreach milestones.


When Digital Copies Are Enough


Digital review copies make sense when recipients accept eARCs, when immediate mass distribution is required, or when budgets are constrained. Choose digital distribution for mid‑list titles, broad blogger outreach where presentation is less important, and for initial contacts to screen top leads before sending a physical copy.


When To Outsource Versus In‑House


  • Outsource: Use a fulfillment partner when volume spikes, when international distribution or customs paperwork is complex, or when you need reliable carrier relationships and tracking at scale.
  • In‑House: Keep activity internal when volumes are low, presentation requires brand control, or when the team needs direct oversight over packout and inserts.


How To Integrate With PR And Sales


Review copy fulfillment should not be an isolated logistics task. Embed it within the PR workflow: share recipient lists, embargo dates, and tracking reports with PR; allow sales teams access to shipment data for buyer follow‑up; and use fulfillment timing to schedule social campaigns and author events. A single source of truth for recipient status reduces duplicate shipments and improves follow‑up effectiveness.
