Timing for verification is part policy and part risk management. A warehouse must balance speed with accuracy; each verification point adds handling time but reduces the probability of mis-ships and costly returns. The decision on when to verify depends on SKU risk (new styles, similar SKUs), channel rules (retail EDI vs direct-to-consumer), and contract terms that assign liability for chargebacks.


Verification Points In The Fulfillment Cycle


There are several practical points to verify size labeling—choose one or combine multiple based on risk.

  • Inbound Verification: Check size labels as goods are received to catch supplier mistakes early and prevent bad stock from entering inventory.
  • Storage Audit: Periodic bin checks to ensure labeling remains legible and attached over time, useful for long-term storage and seasonal goods.
  • Pick-Time Verification: Scan the SKU/size during the pick to ensure the correct item was removed from inventory; fast and low-lift but not foolproof for label placement errors.
  • Pack-Time Verification: Scan again at packing to validate picked item vs order, and verify the visible size label matches the order line—this is the last human check before shipment.
  • Pre-Ship Audit: For high-volume retail pallets or EDI shipments, perform a sample carton/pallet audit to match ASN data and label presentation requirements.


Factors That Push Verification Earlier


Certain conditions make it more cost-effective to verify earlier in the process:

  • High SKU Similarity: When size labels are the only visual distinction between SKUs (color and style similar), verify at inbound or pick.
  • Retailer Requirements: Retailers may require proof of correct labeling before accepting shipments or risk issuing chargebacks.
  • High Return/Exchange Rates: For categories with high size-related returns (e.g., footwear), add extra verification steps to reduce downstream costs.


When To Rely On Sample-Based QC


Fully verifying every item isn’t always practical. Sample-based QC is an accepted compromise when you can tolerate a low error rate.

  • Statistical Sampling: Use lot-size-based sampling tables to set audit frequency; escalate to 100% checks for lots that fail sampling.
  • Risk-Based Sampling: More frequent checks for new SKUs, poor-performing suppliers, or high-value products.
  • Automated Triggers: WMS flags when QC fails and can automatically route suspect SKUs to quarantine until rework completes.


Technology To Reduce Manual Verification


Investing in automation reduces labor while improving consistency.

  • Barcode And QR Validation: Print size information in both human-readable and machine-readable formats and require scans at pick and pack.
  • Vision Systems: Automated cameras and OCR check label placement, print quality, and presence without slowing packing lines.
  • WMS Rules: Configure the WMS to require scan confirmations, print placement instructions, and track verification history for audits.


Practical Example: Direct-to-Consumer vs Retail Pallets


For DTC shipments, a single pack-time barcode scan may be sufficient because customer returns are usually processed individually. For retail pallet shipments, the retailer may require inbound label placement visible at pallet/carton level and a pre-ship audit of a percentage of cartons. Adjust verification points and documentation to meet each channel’s tolerance and contractual penalties.


Operational Tips For Scheduling Verification


Implement verification in a way that fits throughput goals.

  • Integrate With Shift Plans: Schedule QC at slower shifts or buffer zones to avoid creating bottlenecks on prime packing lines.
  • Use Dedicated QC Stations: Keep rework out of packing to maintain throughput and quality separation.
  • Train For Edge Cases: Teach staff to identify misapplied labels and to escalate pattern issues (recurrent supplier errors) to merchant contacts.


In short, the Size Labeling verification strategy should be risk-based: more verification where SKU similarity, channel requirements, and return costs are high; sampling and automation work well for stable, low-risk SKUs. Define verification points in your SLA, instrument them in WMS, and use escalations for recurring failures to keep labeling accuracy within agreed tolerances.
