Retailers and large 3PL customers use pallet labels to automate receiving, track shipments across the supply chain, and enforce inventory accuracy. Pallet labels are machine-readable records attached to a pallet that contain order-level information such as purchase order number, carton count, GTINs, serial shipping container code (SSCC), and sometimes temperature or lot data. When a pallet label matches the retailer's expected format, receiving scanners and warehouse management systems can ingest the shipment with minimal manual work.


Why Retailers Require Pallet Labels


Retailers set pallet label standards to speed up cross-docking and putaway at distribution centers, reduce receiving errors, and support downstream processes such as replenishment and recalls. A single unreadable or incorrect pallet label can cause delays on a receiving dock, trigger manual inspections, and generate chargebacks for the supplier. Large retailers and grocers often publish precise labeling guides; these guides specify barcode symbology, label placement, minimum print quality, and mandatory data fields.


Common Label Elements And Formats


  • SSCC (Serial Shipping Container Code): A unique pallet identifier usually encoded in GS1-128 format for scan-and-track workflows.
  • Purchase Order/ASN Numbers: Human-readable and barcode representations of the buyer's PO and the advanced ship notice reference.
  • GTIN/Item Counts: The global trade item numbers and quantity of units or cartons on the pallet.
  • Weight And Dimensions: Gross weight and pallet footprint for dock planning and transport booking.
  • Lot/Batch/Expiration: Required for food, pharmaceuticals, and regulated goods to support traceability.


GS1-128 is the most commonly required symbology in U.S. retail. Retailers specify whether certain data elements must use AI (Application Identifier) formatting—e.g., (00) for SSCC, (02) for GTIN packaging levels, (37) for count. Confirming the exact AI set prevents downstream parsing errors.


How Requirements Vary By Retailer And Product Type


Not all retailers require the same fields or label placement. Big-box chains often require the SSCC plus PO and carton count on the upper right face of the pallet, while grocery chains may insist on added temperature and expiry data for chilled items. For private-label or promotional items, a retailer may request additional identifiers such as vendor SKU or promotional codes. Food, pharma, and hazardous materials carry stricter rules from regulators that overlay retailer standards.


Who Is Responsible For Labeling


Responsibility usually lies with the shipper (vendor), but it can shift to the 3PL or packer by agreement. Contracts and vendor manuals specify the party responsible for generating and applying labels. If a 3PL performs kitting or pallet consolidation, the 3PL often generates the SSCC and applies the pallet label. Regardless of who prints the label, the vendor remains legally responsible for the accuracy of product and compliance data unless otherwise contractualized.


Practical Example: GS1-128 Pallet Label Workflow


A typical workflow begins with the ERP generating an ASN that includes the SSCC and PO details. The WMS receives the ASN and prints the GS1-128 pallet label when pallets are staged for shipment. Labels are placed on the right-facing side of the pallet at a specified height so forklift operators and fixed scanners can read them. At the retailer dock, scanners read the SSCC and confirm the ASN, allowing automated putaway instructions to populate. If the label fails to scan, receiving staff scan individual cartons to reconcile the contents, which costs time and may incur chargebacks.


Common Problems And How To Prevent Them


  • Poor Print Quality: Use thermal transfer printers with proper ribbon and label stock; set minimum print resolution requirements (300 dpi recommended for dense barcodes).
  • Wrong Symbology: Verify whether GS1-128, Code 128, or a different barcode is mandated and test with retailer scanners before shipping at scale.
  • Incorrect Data Formatting: Ensure the correct AI prefixes and leading zeros; automate label generation from ERP/WMS to avoid manual typos.
  • Improper Placement: Follow retailer placement and height rules so dock-side fixed scanners can read without repositioning pallets.


Implementation Tips For Warehouses And 3PLs


  • Label Templates: Maintain certified label templates per retailer in your WMS and lock editable fields to reduce human error.
  • Pre-Ship Testing: Validate label scans with a handheld and a fixed dock scanner; include sample ASN transmissions to the retailer.
  • Quality Audits: Run periodic print-quality checks, verify barcode decodability, and audit label placement during packing shifts.
  • Staff Training: Train packers on label placement standards and show examples of acceptable vs unacceptable labels.
