A report that groups unpaid invoices by how long they have been outstanding.

Overview

AR Aging

A report that groups unpaid invoices by how long they have been outstanding. An accounts receivable (AR) aging report organizes open receivables into age buckets — typically 0–30, 31–60, 61–90, and 90+ days — so finance, credit, and operations teams can see which customers are current, which are late, and how much revenue is at risk.

The report is a snapshot of receivables on a given date. It pulls invoice dates, payment history, credit memos, and unapplied receipts from the general ledger or the billing system and presents the outstanding balance by customer and by invoice age. For warehouses, 3PLs, and merchants that bill for storage, handling, or transportation services, the AR aging report is the front-line tool used to prioritize collection activity and assess working capital.

What The Report Typically Shows

Most AR aging reports present the following columns for each customer or invoice:

  • Invoice details: Invoice number, issue date, due date, and original amount.
  • Current balance: Outstanding amount not yet past due.
  • Age buckets: Amounts grouped into 0–30, 31–60, 61–90, and 90+ day buckets (custom buckets are common).
  • Total receivable: Sum of outstanding across buckets for the customer or the entire aging report.

Why It Matters

AR aging converts a list of invoices into actionable insight. It shows where cash is tied up and which accounts require collection attention. For logistics providers, slow-paying shippers or merchants create collection cycles that affect billing for storage, demurrage, or detention. Aging helps rank customers by collection risk, quantify credit exposure, and inform decisions about extending additional services or shipments on open account.

How The Report Is Prepared

AR aging is typically produced by an accounting system, WMS-integrated billing module, or ERP. The basic preparation steps are:

  • Data pull: Extract open invoices, payments, credit memos, and unapplied receipts as of the report date.
  • Apply receipts: Match payments to invoices so only unpaid balances remain.
  • Calculate age: Age is usually calculated from the invoice date or due date; organizations must be consistent on which baseline they use.
  • Bucket balances: Place each unpaid amount into defined age ranges and total by customer.

How It Varies Between Systems

Different systems and companies handle aging in slightly different ways. Common variations include:

  • Bucket ranges: Some use weekly buckets for high-volume retail billing; others use broader buckets for B2B accounts.
  • Age basis: Aging from invoice date (shows invoice life) versus from due date (shows delinquency relative to payment terms).
  • Treatment of disputed items: Disputes may be excluded, flagged, or left in the aging report depending on policy.

Practical Example

Imagine a 3PL runs an AR aging on the last day of the month. Customer A has $5,000 invoiced 10 days ago, Customer B has $12,000 invoiced 45 days ago, and Customer C has $3,000 invoiced 95 days ago. The aging report shows $5,000 in the 0–30 bucket, $12,000 in 31–60, and $3,000 in 90+. Collections priority is clear: immediate attention on Customer C, payment reminder for Customer B, and routine follow-up for Customer A.

Limitations And Common Pitfalls

An AR aging report is only as accurate as the underlying data and rules. Common problems include unapplied receipts that inflate aged balances, invoices posted to the wrong customer, inconsistent aging basis, and failing to flag or remove disputed items. Regular reconciliation between the AR subledger and the general ledger prevents misleading balances.

Tips For Using AR Aging Effectively

  • Standardize aging rules: Decide whether age is calculated from invoice date or due date and apply consistently.
  • Automate matching: Use system matching to reduce unapplied cash and manual errors.
  • Segment customers: Break out high-volume vs low-volume customers; tailor collection cadence.
  • Combine with KPIs: Monitor aging alongside DSO (days sales outstanding) and cash collections trends.

In short, the AR Aging report converts raw invoice data into prioritized collection actions and visibility into receivables risk. When prepared and maintained correctly it is an essential tool for managing working capital in warehouses, 3PLs, and merchant operations.
