Overview

EDI 856 The ANSI X12 advance ship notice or ship manifest transaction. This transaction is used to electronically communicate shipment and packing details from a sender (usually a supplier, shipper, or 3PL) to a receiver (retailer, distribution center, or customer) before the actual physical delivery arrives.


The advance ship notice, commonly called an ASN, gives receiving locations detailed information about what is in a shipment — container IDs, pallet-level and item-level contents, quantities, weights, and carrier and routing details. Carriers, warehouses, merchants, and ERP/WMS systems rely on the EDI 856 to speed receiving, enable cross-dock and putaway planning, and automate inbound workflows.


What The Transaction Typically Covers


The EDI 856 contains structured segments that describe shipment and packaging hierarchy and contents. Typical data elements include:

  • Shipment Level: Shipment identifier, ship date, carrier SCAC, pro number, expected arrival date and time.
  • Order/Purchase Reference: Purchase order numbers and references that link the ASN to orders or releases.
  • Packaging Hierarchy: Pallet and carton IDs (SSCC, carton serial numbers), pack type, and counts.
  • Item Details: SKU/UPC, item description, quantities shipped and per-container quantities, unit of measure.
  • Weight And Dimensions: Gross/net weights, volume, and dimensions useful for dock planning and putaway.


Why It Matters To Warehouses And Carriers


Receiving without an EDI 856 forces manual inspection, slows throughput, increases dock labor, and raises the chance of errors. With accurate ASNs, receiving teams can pre-plan labor, allocate staging space, update inventory systems in advance, and support faster unloads and check-in. Carriers and dock schedulers use the data to optimize appointments and route assignments.


How The EDI 856 Can Vary By Use Case


Not all 856 implementations look the same. Retail chains, grocery, manufacturing, and 3PLs often have bespoke requirements that change segment usage, packing granularity, and identification schemes.

  • Retail Requirements: Many retailers demand ASN per PO and require item-level carton mapping and SSCC labels for compliance.
  • 3PL/Warehouse: 3PLs may receive ASNs that reference house orders or client SKUs and require mapping into the WMS receiving workflows.
  • Carrier-Facing ASNs: When carriers receive an ASN, they expect specific routing and trailer identification details for matching bills of lading and pickup manifests.


Who Sends And Who Receives


Generally, the shipper or party initiating the shipment sends the EDI 856. Typical sender/receiver pairs include:

  • Supplier to Retailer: A vendor sends an ASN to a retailer's EDI endpoint to notify of inbound goods against a PO.
  • Merchant to 3PL/Warehouse: A merchant notifies its fulfillment partner of inbound inventory and carton/pallet configuration.
  • Carrier to Receiver: Carriers or forwarders sometimes emit ASNs to receivers with transport details and manifest-level info.


Practical Example


A supplier ships three pallets to a retail DC against PO 12345. Before the truck departs, the supplier's ERP exports an EDI 856 that lists shipment ID, carrier SCAC, expected arrival, and then three pallet segments. Each pallet segment contains SSCC, carton counts, and the SKU-level breakdown with quantities and unit-of-measure. The retailer's WMS receives the 856 and creates an inbound shipment in the system, schedules labor, and prints receiving labels. When the truck arrives, dock staff scan SSCC barcodes to auto-post receipts against the ASN, reducing manual counting and accelerating putaway.


Common Implementation Considerations


  • Mapping: Decide how EDI 856 segments map to WMS objects — shipments, pallets, cartons, and order lines — and ensure PO references are matched correctly.
  • Granularity: Agree with trading partners whether ASNs are pallet-level, carton-level, or both. Finer granularity reduces exceptions but increases data size and labeling needs.
  • Labeling And Identifiers: Use standards like SSCC for serial shipping container codes; mismatched IDs are a frequent source of errors.
  • Timing: Determine lead time for sending ASNs. Some retailers require ASNs at shipment time; others allow ASNs within a specific window before arrival.
  • Validation: Implement business-rule checks: quantity matches PO, valid SKUs, and correct UOM conversions.


Tips For Smooth Adoption


  • Start With A Pilot: Test ASNs with a single DC and a small SKU set to validate labeling and mapping before scaling.
  • Automate Reconciliation: Use WMS or middleware to auto-match ASN quantities to PO lines and flag exceptions early.
  • Keep Trading Partner Rules Documented: Maintain a clear spec for each customer, including required segments, code lists, and timing windows.
  • Use Middleware When Needed: EDI translation platforms simplify mapping between ERP, WMS, and carrier systems without heavy custom code.


In short, the EDI 856 is the transaction that lets supply chain partners share detailed shipment and packing information ahead of arrival, enabling faster receiving, fewer errors, and improved dock and inventory planning.
