Overview

Single Source of Truth A designated authoritative source that systems and teams rely on for approved product information. Knowing when to implement an SSOT helps warehouses and 3PLs prioritize projects that reduce freight claims, speed throughput, and improve customer experience.


Implementation is not an all-or-nothing project; organizations often introduce an SSOT incrementally. The right time is driven by measurable pain points: repeated shipping errors, time lost reconciling product attributes, frequent carrier disputes, or regulatory non-compliance. When these costs become material, an SSOT project moves from a nice-to-have to a necessity.


Common Triggers That Signal Readiness


  • High Error Rates: Frequent dimension/weight mismatches, mis-picks, or label errors causing returns and chargebacks.
  • Multiple Conflicting Sources: Product attributes stored across spreadsheets, ERP, and marketplace listings with no single owner.
  • Scaling Integrations: Adding channels or marketplaces and needing consistent product feeds.
  • Regulatory Pressure: Customs or safety compliance requiring auditable, consistent HS codes and country-of-origin data.


Phased Implementation Approach


Begin with the highest-impact attributes and expand. A phased approach reduces risk and demonstrates ROI quickly.


  • Phase 1 — Authority Identification: Choose the system that will act as SSOT for each data domain (e.g., ERP for logistics, PIM for marketing content).
  • Phase 2 — Critical Attributes: Publish and enforce dimensions, weights, and shipping classes to WMS and carrier systems.
  • Phase 3 — Governance: Assign data stewards, approval workflows, and validation rules.
  • Phase 4 — Broad Syndication: Add additional attributes (images, descriptions) and expand connectors to marketplaces and analytics systems.


Integration And Validation Best Practices


Technical integration must be paired with validation steps. Systems should never accept unvalidated updates automatically.


  • API First: Use APIs or message queues for near real-time distribution to WMS and TMS.
  • Staging Environments: Run changes in staging with feed consumers to detect downstream issues before production rollouts.
  • Fallbacks: Define a rollback plan or override rules for urgent operational fixes without breaking governance.


Measuring Success


Track metrics closely to prove value. Useful KPIs include error rates (dimension/weight mismatches), number of chargebacks, order cycle time, and time spent on manual reconciliations. Demonstrable reductions in these metrics justify expanding the SSOT to more attributes and clients.


Pitfalls To Avoid


  • Overcentralizing Too Early: Trying to enforce every attribute at once can stall progress. Prioritize high-impact fields.
  • No Ownership: Without clear data stewards, changes drift and trust in the SSOT erodes.
  • Poor Feedback Loops: Not giving downstream teams a way to report issues will create shadow systems again.


Practical Example


A mid-sized 3PL noticed frequent carrier reweigh disputes driving up costs. They made the warehouse WMS and the ERP share the same approved weight and cartonization fields by designating the ERP product module as the SSOT for weights. APIs published the values to the WMS and to the carrier manifest system; the 3PL reduced disputes by 70% within three months and then expanded the SSOT to include HS codes and handling instructions.


In short, the Single Source of Truth should be implemented when inconsistent product information causes measurable operational or financial pain. Start with the attributes that drive the largest costs, assign stewards, automate distribution, and expand governance as you prove value.
